SPRINGFIELD HIGH SCHOOL ICE HOCKEY BOOSTER CLUB
BY-LAWS

ARTICLE I - CLUB NAME

The name of the association shall be the "Springfield High School Ice Hockey Booster Club", and can be abbreviated to "SHS Ice Hockey Club".

ARTICLE II - LOCATION

1.       The official location of the office of the SHS Ice Hockey Booster Club shall be the address of the President of the Board. Correspondence may originate from, and inquiries may be made to, other locations such as the address of the Recording Secretary of the Board.

2.     Location changes for correspondence and inquiries must be endorsed by the Club’s Board of Directors.


ARTICLE III - PURPOSE

The purpose of the SHS Ice Hockey Booster Club is:

1.       To provide, through financial, logistical, and moral support, the opportunity for students in Springfield High School to play competitive youth ice hockey.

2.     To provide for the wholesome development of character and individual skills, as well as teamwork, discipline and good sportsmanship, among the participants.

3.     To maintain and enhance the reputation and public image of Springfield High School and the Springfield School District who may provide financial funding to the Club.


ARTICLE IV - TEAM MEMBERSHIP

To be eligible to participate on any SHS Ice Hockey Team, the student must:

1.       Attend Springfield High School in grades 9- 12 or be a certified home-schooled member of Springfield School District.

2.     Maintain eligibility for sports in accordance with established Springfield High School requirements including attendance, academic, and conduct regulations.

3.     Fulfill all required financial obligations to the SHS Ice Hockey Booster Club as determined by its Board of Directors.

4.     Conduct themselves, at all times, in accordance with established Springfield School District and USA Hockey standards of conduct.

ARTICLE V - SHS ICE HOCKEY BOOSTER CLUB MEMBERSHIP

1.       To be considered a SHS Ice Hockey Booster Club member in good standing with the rights associated with Club membership, a member must be a parent or legal guardian of a team member in good standing as described in Article IV.

2.     Club members are permitted to participate in all membership votes on the various issues that are brought to the Club by the Board of Directors as outlined in Article VII.

3.     Club members are required to conduct themselves in accordance with established Springfield School District and SHS Ice Hockey Booster Club standards of conduct.


ARTICLE VI - BOARD OF DIRECTORS

The SHS Ice Hockey Booster Club shall be managed by a Board of Directors which is elected by the general membership of the Club. All Board Members and Executive Committee Members must be SHS Ice Hockey Booster Club members in good standing.  Each Board member is elected to a specific office on the Board. Those offices include:

1.       President

2.     Vice President

3.     Treasurer

4.     Recording Secretary

5.     Equipment Manager

Non-voting Executive Committee positions will include:

1.       Varsity League Rep.

2.     JV League Rep.

3.     Varsity Team Manager

4.     JV Team Manager


The Board is responsible for conducting off-ice SHS Ice Hockey Team activities, arranging for financial support of the Team, and enforcing the standards of conduct in accordance with these established articles.

Discipline

Player discipline issues are handled by the Coach and the school Athletic Director.  The Club must abide by the decisions of the Coach and/ or Athletic Director in these matters.

Elections

1.       The Board of Directors shall be elected yearly by a simple majority vote by the member families according to the process outlined in Article VII.

2.     The annual election shall occur at the conclusion of the season and prior to the annual banquet to allow sufficient time for future planning of Club functions.

3.     Candidates for Board of Director positions must be nominated. Self-nomination is not permitted.


Terms of Office

All Board members are expected, but not obligated, to serve two (2) years to avoid unnecessary churn in the Board. Every Board member, however, must be re-elected for any term beyond their initial term.

Ideally, the Board should consist of a mixture of graduating classes to ensure continuity and therefore, no more than 3 members of the Board should be from the same graduating class.

Coaches may not be members of the Board of Directors.

Duties of the Board Offices:

President

1.       Preside and direct all Board of Directors meetings.

2.     Authority to call special meetings and act on emergencies not provided for in the by-laws. Emergency decisions shall be communicated to the full Board of Directors as soon as possible.

3.     Shall act as the official spokesperson for the Club.

4.     Responsible for handling disputes within the Club or between the Club and any outside entity which should arise during the season.

 

Vice President

1.       Authority of the President in the President's absence.

2.     Responsible for all rules and bylaws.

3.     Coordinates community service, team building and fundraising activities.

Treasurer

1.       Responsible for all financial activities of the Club, including receiving dues payments and depositing into the Club bank account.

2.     Responsibility to pay all obligations of the Club from the Club Treasury.

3.     Maintain detailed financial records which are to be audited by the President and Vice President annually.

4.     Prepare and distribute detailed financial reports and bank statements to the Board of Directors at each monthly meeting.

5.     Notify the Team and Club members of accounts due.

6.     Coordinate funding issues with the School District Athletic Director.

7.     Negotiate ice time.

Recording Secretary

1.       Advise membership of meetings, events and general information.

2.     Coordinate all correspondence and mailings of the Board.

3.     Maintain minutes of Board meetings.

4.     Maintain team rosters, mailing labels, phone chains and email addresses.

5.     Publish news and announcements in local newspapers.

6.     Register players with U.S.A. Hockey.

Equipment Manager

1.       Responsible to identify equipment needs of the players including jerseys, socks, and shells

2.     Order and distribute equipment to players

3.     Responsible for tracking jersey numbers to ensure there is no duplication.

Non-voting Executive Committee Positions:

Varsity and JV League Representative

1.       Attend League meetings and report back to the Board

2.     Represent the Board position at all League meetings.

3.     Roster players with the League.

Varsity and JV Team Manager

1.       Act as a liaison between the Coach and the parents

2.     Act as a liaison between the Team and the Board.

3.     Responsible for maintaining phone chains and email lists for their team.

4.     Assist the Coach and/or Vice-President in planning and organizing any team activities.

5.     Attend monthly Board meetings and keep parents informed of all Club activities.

ARTICLE VII - CLUB VOTING PROCEDURES

1.        Each SHS Ice Hockey Booster Club family in good standing shall be permitted one (1) vote for each child that is a team member.

2.      At the conclusion of a season, 8th grade families shall be permitted one (1) vote for each child that is a prospective team member of the upcoming season.

3.      Members need not be present to vote. Votes may be provided through written proxy to any member of the Board of Directors.

4.      Notice of issues requiring consent of SHS Ice Hockey Booster Club members, such as Board elections, changes to by-laws, Club funding, etc., will be provided in writing to the members and/or advertised in the local newspaper and listed as "Parent’s Meetings".

5.      In all voting, a majority vote shall carry a motion.

6.      Board meetings shall be open to all Club members, but the Board reserves the right to conduct closed door work sessions in order to handle delicate matters.

ARTICLE VIII - CLUB DUES AND FINANCIAL OBLIGATIONS

1.       Each team member is responsible to pay their team dues as calculated annually by the Board of Directors. Such dues are established to cover the operating expenses of the Club.

2.     To the extent possible, standard payment arrangements will be designed and offered to all members.

3.     Each team member and his/her family are expected to participate, to the fullest extent possible, in all fund-raisers designed by the Board of Directors.

4.     Any team members who choose to leave or join the team during the season will have their annual team dues obligation pro-rated according to the Club’s published refund policy.
